This guide helps ScholarsArchive users deposit and manage their content.

Depositing Your Honors College Thesis -or- Undergrad Thesis/Project

PLEASE NOTE:

The Undergraduate Thesis or Project worktype is only for theses and projects directly related to graduation.

If you are uploading an item for a class, Fall Virtual Symposium (FVS), Spring Poster Symposium (SPS), WIC works, transcript notation, etc., go to: Depositing Other Undergrad Content.

PREPARE YOUR FILES

► FORMAT: Theses and projects must be PDFs.

► FILE NAME: Name your file using this format:

LastnameFirstnameGraduationyear.pdf

Example: GarciaEmily2025.pdf

► ACCESSIBILITY: Is your document accessible? Take a look at our Accessibility Submission Guide. While making accessibility changes is not required, it is considered best practice to avoid common accessibility issues.

 

TO DEPOSIT YOUR WORK

  1. Login
  2. Select type of work
  3. Describe your work with metadata
  4. Upload files
  5. Choose visibility level (NOTE: Please speak to your advisor about appropriate visibility!)
  6. Review
  7. Read deposit agreement & submit
  8. Wait for approval

 

1. LOGIN

  • Go to the ScholarsArchive@OSU homepage.
  • Click Login in the upper right corner.
  • Enter your ONID credentials.
  • You are now on your Dashboard.

 

2. SELECT TYPE OF WORK

  • Select Works in the column on the left.
  • Click the Add new work button on the right side.
  • As appropriate, choose Honors College Thesis or Undergraduate Thesis or Project.

NOTE: If you are depositing a non-thesis paper or presentation from a class, go to Other Undergrad Content.

 

 

3. DESCRIBE YOUR WORK WITH METADATA

► Key fields are required and marked in blue on the edit page.

Detailed Field Information

  • Title - Title as shown on your work.
  • Creator - Your name, in the form: Last name, First name Middle initial.
    • Example: Franklin, Rosalind E.
  • Resource Type - Choose Honors College Thesis or Undergraduate Thesis.
  • Abstract - Use the abstract from your work.
  • Dates - Select Date Issued.
    • Enter the date you presented your work.
  • Degree Level - Choose Bachelor’s.
  • Degree Name - Choose the name of the degree for which you are a candidate.
    • If you do not see your degree name in the list, select Other and enter it there.
  • Degree Field - Enter the field for which you are a candidate.
    • If you do not see your degree field listed, select Other and enter the name of the degree.
  • Non-Academic Affiliation - If your work was associated with other programs, please add them here (BioResource Research, Office of Undergraduate Research (OUR), etc.).
    • If you do not see your program listed, select Other and enter the program name (only OSU-affiliated programs are valid for this field).
  • Commencement Year - Enter your commencement year as printed on your thesis or project.
  • Advisor/Mentor - Do not enter any titles.
    • Use the form: Last name, First name Middle initial.
  • Committee Members - Enter one per line. Do not enter any titles.
    • Use the form: Last name, First name Middle initial.
  • License - This must match the license stated on your work.
  • Rights Statement - In Copyright is the default setting and correct choice unless you choose to forfeit copyright.
    • This field needs to match the copyright listed on your work.
  • Related Items - If there are other items in ScholarsArchive@OSU, a relevant website (e.g. your research group's website), or other resources that will help users understand your work, enter URLs for them here.

 

4. UPLOAD FILES

  • Click Files at the top of the edit page.
  • Select Add files and choose the PDF of your thesis/project on your computer or drag and drop it into the box.

NOTE: If you have a presentation/poster for your thesis that you want to include, please upload it as a separate item as described here.

File Size Limitations

Generally, files smaller than 2GB will upload through ScholarsArchive@OSU’s web interface.

 

5. CHOOSE VISIBILITY LEVEL

  • On the right, select Public (recommended) or Embargo.
  • Please speak to your advisor about appropriate visibility.

Embargoes

Users may temporarily restrict access to content on ScholarsArchive@OSU due to ongoing research, pending publication, or other reasons. Details are available on the Embargoes and Access Controls page.

 

6. REVIEW

  • Go back and review your metadata for errors and misspellings.
  • NOTE: You cannot make changes after you submit your work into the review process -- if you want to change something, you must contact an administrator.

 

7. READ DEPOSIT AGREEMENT & SUBMIT

  • Under Visibility, click Deposit Agreement to read it and then tick the box.
  • Click Submit.
  • NOTE: You will not be able to submit your work unless all required fields (see blue required labels) are complete.

 

8. WAIT FOR APPROVAL (& MAKE CHANGES AS NEEDED)

  • Once your work has been submitted, it enters the review process.
  • You will receive notifications (via email and in your ScholarsArchive account) regarding the status of your work, including whether you need to make changes before it can be accepted.
  • After it is accepted, your work will be posted to ScholarsArchive.
  • If you need to make changes, see Document Review Process.
  • NOTE: Uploading to ScholarsArchive is only part of the transcript notation process. You must complete an application. Full details here: Transcript Notation - Office of Undergraduate Research

Depositing Other Undergraduate Work

If you want to deposit non-thesis content such as posters, presentations, or research papers from a class, Fall Virtual Symposium (FVS), Spring Poster Symposium (SPS), WIC works, or items for your official transcript notation (separate application required!), select Other Scholarly Content from the list after you click Share Your Work on the homepage.

 


PREPARE YOUR FILES

► FORMAT: Please convert your document to a PDF or include a PDF version in addition to your original file.

► FILE NAME: Choose a file name that makes sense and looks professional, such as your name and the year.

► ACCESSIBILITY: Is your document accessible? Take a look at our Accessibility Submission Guide. While making accessibility changes is not required, it is considered best practice to avoid common accessibility issues.

  • Title - Title as listed on your work.
  • Creator - Your name, in the form: Last name, First name Middle initial.
    • Example: Franklin, Rosalind E.
  • Resource Type - Select the appropriate type from the list.
  • Abstract - Use the abstract from your work or write a short summary about it.
  • Dates - Select Date Issued.
    • Enter the date you presented or turned in your work.
  •  
  • Academic Affiliation - The academic department with which you are affiliated.
  • Non-Academic Affiliation - If you are applying for Transcript Notation, please select Office of Undergraduate Research (OUR). Other common selections: Fall Virtual Symposium (FVS), Spring Poster Symposium (SPS), BioResource Research, Writing Intensive Curriculum.
  • License - (recommended) This must match the license stated on your work.
  • Rights Statement - In Copyright is the default setting and correct choice unless you choose to forfeit copyright.
    • This needs to match the copyright listed on your work.
  • Related Items - If there are other items in ScholarsArchive@OSU associated with your work such as your undergraduate thesis, enter the URL for it in this field.

Additional Fields

  • Conference Name, Section/Track, and Location - Complete these fields if you presented your work at a conference or event, including Fall Virtual Symposium (FVS), Spring Poster Symposium (SPS), etc.
