The QuickSubmit Plugin allows a journal editor to add a publication-ready submission directly to an issue in a single step, bypassing the standard editorial workflow. This can save a lot of time for submissions that do not require a review step, or for which the review takes place outside of the OJS system.
The basic procedure within OJS involves creating the issue, then uploading and describing submissions one at a time, then publishing the content when you are ready. More information is available in the PKP Docs, including a YouTube video tutorial. Contact us for questions or to enable the plugin for your journal.
First, prepare your content for publication outside of OJS using a workflow of your choosing. Each individual submission (articles or other individual pieces of content) must be saved as a separate file, preferably PDF and/or HTML. Optionally, you may also prepare a single PDF file of the full issue to attach to the issue’s landing page.
For quicker publication, it is recommended that you prepare metadata for each submission ahead of time. Titles and author names are required metadata; abstracts, keywords, etc. may be included according to the standard for your journal.
You may also want to prepare an issue and/or article cover image(s) as separate image files, preferably PNG or JPEG.
When ready to proceed, log in to your OJS Journal (note: requires either a Journal Manager or Editor level account) and go to your Dashboard.
For the most efficient workflow, a destination issue must be created before adding a submission with the QuickSubmit plugin. See the instructions for Creating an Issue.
Go to Tools >> Import/Export tab (shown by default), and select QuickSubmit Plugin.
If you do not see the QuickSubmit plugin listed, contact OSU Libraries' OJS Administrator to have it added to your site.
Upload a cover image for the submission, if desired, and add alternate text.
Choose the Section from the drop-down list.
If the desired Section is not included in the list, the Section will need to be created separately before proceeding.
Enter metadata for the submission following the standard for your journal.
Under List of Contributors:
Click Add Contributor.
Enter metadata for the contributor following the standard for your journal.
Information entered in “User Details” section will display below the author’s name on the article landing page.
Select the contributor’s role (Author or Translator).
For the first author (unless otherwise stated), check the box for “Principal contact…”
Click Save.
Repeat steps A-E for each author or other contributor.
Under Galleys, click Add Galley to upload the submission file.
In the popup box, complete the galley metadata following the standard for your journal.
Note that the Galley Label will appear as the text on the button users click to access the galley file. “PDF” or other similar indication of the file format, as appropriate, is recommended.
Only check “This galley will be available at a separate website” if you are providing an external link where users will access the full text, rather than uploading a file.
Click Save.
In the new popup box, select the Article Component (typically “Article Text”)
Upload the file, then click Continue.
Rename the file if desired, then click Continue.
Confirm the “File Added” message, then click Complete.
At the bottom, select “Published” to assign the submission to an issue, or “Unpublished” to leave it for assignment at a later time.
If you select "Published," then choose the issue you would like to publish it in from the drop-down menu.
Complete the publication metadata following the standard for your journal
Tip! Selecting "Published" does not publish a currently unpublished issue, but schedules the submission for publication whenever the issue is published.
Click Save.
Click Return to QuickSubmit Plugin and repeat steps 2-8 for each additional submission.
Important! Custom URL Paths and DOIs cannot be added to submissions with the QuickSubmit tool. Add both to each submission after saving with QuickSubmit using the Editing a Submission instructions.
