Tips & Tricks Using PowerPoint

Convert PowerPoint slide to PDF:

1) Open your presentation

2) Click on "File" in top left hand corner

     - Navigate mid way through the menu and select "Save as Adobe PDF"

4) Name your file and save it.

Change Dimensions of PowerPoint Slides

1) Open your presentation

2) Click on the "Design" tab, located fourth from the left most.

3) Click on "Slide Size". (Note that it may be under "Customize")

4) Select from either the default screen sizes or "Custom Slide Size" to manually change it.

*Note that you will be asked if you want an to "Maximize Fit" (crops some of the content) or "Ensure Fit" (scales images to fit)

Add a template to your PowerPoint

1) Open your presentation

2) Click the "Design" tab, fourth tab from the left

3) Select a template from the "Themes" section

4) Customize color palate or choose from the defaults.

Insert narration/audio files into PowerPoint

1) Open your presentation

2) Click on the "Insert" tab, third from the upper left.

3) Click on "Audio", near the right most.

4) Choose from audio from My PC or add narration directly

                 *note that to add narration directly you will need some kind of microphone connected to your computer.

5) Select your audio file and insert into your presentation

Customize options in "Playback"

Click on the sound icon once you have your file in your presentation and locate the "Playback" tab.

Here you can customize different aspects of your audio file such as:

- Hiding the audio icon while you present

- At what time stamp your audio will start play

- If you want the audio to loop and much more!

Import Slides From One Project Into Another

1) Open the presentation you want to copy slides from

     - Click on slide(s) you want to copy, use CTRL + Left Click to select multiple slides

     - Right click on highlighted slides and copy or cut them

2) Go into the presentation where you want to paste slides into

3) Right click in the left most menu that has all the slides listed out, paste slides

     - When pasting select "Keep Sourcing Formatting"

Edit Slide Master and customize slides

1) Open your presentation
2) Click “View” tab located near the center of the banner. 
3) Click “Slide Master”
4) Make edits to default templates or save a custom template.
1) In the banner, click “Slide Master” located near the top left
2) Click on “Insert layout”, located right under the “Slide Master” tab.
3) Make edits then click on “Rename” located inside “Slide Master Tab”
4) Rename layout in field provided and click “Rename”
5) Click “Slide Master” tab and click “close Master View”

Insert Image:

1) Click on "Insert" tab, third from the upper left most corner

2) Click on the "Pictures" tab/icon inside the "insert" tab

3) Search for your image using the popup file explorer

     - Search for your image using the search box, or click through your file library.

        - Click on "insert" in lower right hand corner of your popup window

4) Now your image should be inserted into your presentation, you can click on the image to format.

Edit Images - Remove Image Background

1) Click on your image

2) Click "Format" tab near the right most of the banner

     - Edit your image

3) Click "Remove Background"

     - Adjust Highlighted area, pink areas will be removed.

     - Once you are done making changes, click "Keep Changes"

 

Insert a header or footer.

1) Click "Insert" tab

     - Click "Header & Footer"

2) Make you changes in the pop up window

     - Apply your changes to either one slide or apply to all slides.

Keyboard Shortcuts For Presenting

F5 -------------------------------------------- Start presentation from beginning

Shift + F5 ----------------------------------- Start presentation from current slide

B or . ------------------------------------------ Toggle blank black slide

W or , ------------------------------------------ Toggle blank white slide

Tips When Using Presenter View

Alt + F5 -------------------------------------- toggle Presenter View

Hold down left click ----------------------- Use mouse as a pointer

Ctrl + P --------------------------------------- Change pointer to a pen

Ctrl + A ----------------------------------------- Changes pointer to an arrow

Ctrl + E ------------------------------------------ Eraser

Ctrl + M ------------------------------------------- toggle ink marks

Grids & Guides

1) Right click on a blank space or in a space outside of the slide

     - In the menu, click on grid and guides

     - Uncheck Smart Guides or check Smart Guides to disable or enable

To Bring Images Forward/Backwards

1) Click the "Insert" tab

2) Click "SmartArt" between "Shapes" and "Charts"

In Pop-Up Window

     - Select a graphic

     - Click "Ok" to apply the graphic

     - Edit with "Design" and "Format" tabs

Turn Text Into A Graphic:
1) Click on your text

2) Click "Home" tab

3) Click "Convert to SmartArt"

     - Click on a desired graphic

To Bring Images Forward/Backwards

1) Right click on your image

     - Then choose from “bring to front” or “send to back”

2) Hover over either option to access more options

3) Choose to send an image backwards one layer using “send backward”

     - Or use “send to back” to send your image to the very bottom.
